Workforce MGR Holdings Pty Ltd ("WorkforceMGR", "we", "us", "our") operates the WorkforceMgr platform — a workforce management solution available as a web application and mobile app on iOS and Android. WorkforceMgr is used by businesses ("Operators") to manage their field-based and distributed workforces,.

This Privacy Policy explains how we collect, use, store, and disclose personal information in connection with the WorkforceMgr platform and website. We are bound by the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

By using WorkforceMgr, you agree to the collection and use of information in accordance with this policy.

Who This Policy Applies To

This policy applies to:

  • Operators — businesses that subscribe to WorkforceMgr to manage their workforce, including their administrators and managers.
  • Employees and contractors — individuals whose employment is managed through the platform on behalf of an Operator.
  • Website visitors — individuals who visit workforcemgr.com.

Where employees interact with the platform on behalf of an Operator, the Operator is the data controller for employment-related records. WorkforceMGR acts as a data processor on their behalf for those records.

Information We Collect

The information we collect depends on how you interact with WorkforceMgr. This includes:

Identity and contact information

Name, email address, phone number, physical address, and account credentials. Used to create and manage accounts, verify identity, and communicate with users.

Location information

Precise GPS location collected at the moment an employee clocks in or clocks out. Used solely to verify presence at an authorised work site. Location is not collected continuously or in the background. Approximate location may also be collected as a fallback where precise GPS is unavailable.

Employment and scheduling information

Rostered shifts, clock-in and clock-out records, payslip data, employment classification, and right-to-work status. Held on behalf of the Operator as part of the employment record.

Compliance and document information

Licence and certification details, expiry dates, uploaded compliance documents, and photos of identification or licences. Collected to support workforce compliance obligations.

Sensitive information

Nationality, gender, and visa or work rights details, collected for right-to-work verification. See Section 6 for more detail.

Communications

Messages between employees and managers within the platform, and correspondence with WorkforceMGR support via email.

Technical information

Device identifiers, crash logs, and usage data collected for platform security and performance. Not linked to individual identity.

How We Use Personal Information

We use personal information to:

  • Provide and operate the WorkforceMgr platform, including rostering, GPS clock-in/out, compliance tracking, document storage, payslip access, and messaging
  • Verify employee presence at authorised work sites during clocking events
  • Support Operators in meeting workforce compliance and right-to-work obligations
  • Send push notifications regarding shifts, compliance alerts, and platform updates
  • Respond to support enquiries submitted via email
  • Monitor and improve platform security, reliability, and performance
  • Meet our legal and regulatory obligations

We do not use personal information for direct marketing without consent and do not sell personal information to third parties.

Disclosure of Personal Information

To Operators

Employment-related records held on the platform are accessible to the relevant Operator. Operators are independently responsible for handling employee personal information in accordance with applicable law.

To service providers

We engage trusted third-party service providers to support platform operations, including cloud hosting, crash reporting, push notification delivery, and integrations configured by Operators. These providers are required to handle personal information securely and only for the purposes for which it was shared.

For legal reasons

We may disclose personal information where required by law, court order, or government authority, or where necessary to protect the rights or safety of WorkforceMGR, users, or the public.

Business transfers

If WorkforceMGR or substantially all of its assets are acquired by a third party, user information may be transferred as part of that transaction.

Sensitive Information

WorkforceMGR collects nationality, gender, and visa or work rights details for right-to-work verification and workforce compliance purposes. The collection of this information is required under Australian employment and immigration law and is carried out on behalf of Operators who are legally obligated to verify work entitlements.

Sensitive information is accessible only to the relevant Operator and WorkforceMGR staff with a legitimate operational need. It is not used for any other purpose and is not shared with third parties except where required by law.

Data Storage and Security

All personal information collected through WorkforceMgr is stored on Amazon Web Services (AWS) infrastructure located in Australia. We take reasonable technical and organisational measures to protect personal information, including:

  • Encryption of data in transit using TLS protocols
  • Role-based access controls limiting access on a need-to-know basis
  • Secure authentication for all platform access

While we take these steps, no method of data transmission or storage is completely secure. We encourage users to maintain strong passwords and report suspected security issues promptly.

Data Retention

We retain personal information for as long as necessary to fulfil the purposes for which it was collected, including employment, payroll, compliance, and legal record-keeping obligations.

Employment records may be retained for the period required by applicable law even after an employment engagement ends. In these circumstances, individual deletion requests may not be able to be fulfilled. Where deletion is not possible, we will explain the reason and restrict further processing where feasible.

Accessing and Correcting Your Information

Under the Australian Privacy Act, you have the right to request access to, or correction of, the personal information we hold about you. To make a request, please contact us using the details in Section 11.

Where personal information is held on behalf of your Operator as part of an employment record, we may direct your request to the Operator as the data controller for those records.

Cookies

The WorkforceMgr website uses cookies to support site functionality and understand how visitors use the site. You may disable cookies through your browser settings, though some functionality may not work correctly without them.

The WorkforceMgr app does not use cookies — authentication is managed via secure tokens.

Privacy of Minors

WorkforceMGR does not knowingly collect or process personal information from individuals under the age of 18 without the consent of their guardian where required. We do not promote or market our services to minors.

If you believe that we have mistakenly collected personal information belonging to a minor, please notify us immediately using the contact details in Section 11 and we will take steps to delete that information promptly.

Changes to This Policy

We may update this policy from time to time. Where changes are material, we will notify affected users. The current version is always available at workforcemgr.com/privacy. Continued use of the platform after any update constitutes acceptance of the revised policy.
